1. Purpose of the service

The “Support IA” bot is an automated support solution designed to be used on the Discord platform. It aims to facilitate and optimize the handling of user questions using artificial intelligence, while allowing server administrators to offer a responsive service to their community.

Use of the bot implies unconditional acceptance of these General Terms of Use.

2. Access to the service and use

The bot can be added to any Discord server by an authorized administrator.

  • Some advanced features or full access to the service may require subscribing to a paid subscription (see subscription policy, section 9).
  • The user agrees to use the bot responsibly and not to attempt to misuse it for unlawful, defamatory, or public order-contrary purposes.
  • Any abusive or fraudulent use may result in immediate suspension of access to the bot without any possible refund.

3. Data collected and purpose of processing

By using this service, users agree that the following data may be collected and processed:

  • Questions posed to the bot by Discord server users;
  • Responses provided by staff or moderation via the bot;
  • Discord identifiers strictly necessary for the operation of the service (such as UserID, ServerID);
  • Subscription data (subscription date, renewal, payment history, etc.);
  • The OpenAI key, stored in encrypted form to secure AI integration.

These data are used exclusively for purposes of service improvement, statistical explanation, and premium access authentication.

  • Explicit user consent (Art. 6, §1, a GDPR).
  • Contractual necessity (Art. 6, §1, b GDPR, for subscriptions).
  • Compliance with legal obligations in force in Belgium and France.

4. Data protection, security, and confidentiality

The security of your data is a priority.

  • All collected information is securely stored on protected servers.
  • The OpenAI key is encrypted according to industry standards and is never shared.
  • No one has access to personal data except authorized administrators and the developer within the strictly necessary scope for proper functioning of the service.
  • In the event of a data breach, the user will be informed in accordance with Article 34 of the GDPR.

Access, correction, deletion:

Under Articles 15 to 17 of the GDPR, any user may request access, correction, or deletion of their data at any time (see Contact Policy, section 10).

5. Data retention

  • Conversations and logs are kept as long as the server uses the bot, unless explicitly deleted by administrators or at user request.
  • Subscription-related data are kept for administrative, tax, and incident management purposes.
  • The OpenAI key linked to the server is deleted at the request of the server owner.

Collection and storage of images

As part of the bot’s operation, it collects images notably from the rules applicable to your site. These files are transferred and hosted by the third-party service Catbox to ensure their preservation and technical accessibility.

The User expressly acknowledges and accepts that:

  • collection and hosting of these images may imply the application of Catbox’s terms and conditions, which apply independently and complementarily to these terms;
  • the service publisher exercises no control over Catbox’s infrastructure, operation, or legal obligations, and therefore cannot be held responsible for any breaches, damages, or disputes related to the use of this third-party service;
  • it is the User’s exclusive responsibility to read Catbox’s terms available on their website and to comply with them.

6. Security and responsibilities

  • All necessary technical and organizational measures are implemented to ensure the confidentiality, integrity, and availability of processed data (Art. 32 GDPR).
  • The “Support IA” bot is not responsible for content generated by users nor for automatic responses provided by the AI.
  • Users agree not to disseminate hateful, illegal statements or content infringing on others’ rights via the bot.

7. Modification of the Terms of Use

These General Terms of Use may be modified at any time, notably to remain compliant with legislation in force in France and Belgium.

8. Applicable law and jurisdiction

The Terms of Use are governed by Belgian and French law, depending on the server’s location. In case of dispute, an amicable resolution will be favored. Failing agreement, competent courts in France or Belgium may be seized.

9. Subscription policy

  • To benefit from all the features offered by the “Support IA” bot, a paid subscription system is proposed.
  • Subscription, renewal, and cancellation are made via secure partner platforms (Stripe, PayPal, etc.) respecting the terms displayed at the time of order.
  • The premium subscription is attributed to the identified Discord server (by ServerID); it is non-transferable.
  • No refund will be made if access suspension is due to a violation of these Terms of Use.
  • Upon expiration, the bot will automatically switch back to free mode according to the policy specified at subscription time.
